An equipment list becomes useful when every line has a purpose, quantity and configuration context. The same device name can cover very different functions and accessories. Build the list around the planned procedures and the hospital’s existing resources, then use it as a basis for comparable supplier discussions.
Core equipment groups to review
These groups organize an initial bill of quantities. The clinical and technical teams confirm the required equipment and quantities for each theatre and shared support area.

| Group | Typical references | Selection question |
|---|---|---|
| Patient position and lighting | Operating table, positioning accessories, surgical lights | Which procedures, positions and ceiling interfaces? |
| Anaesthesia and monitoring | Anaesthesia workstation, patient monitor, associated accessories | Which patients, functions, gas and power connections? |
| Surgical energy and suction | Electrosurgery, suction and selected specialty energy systems | Which instruments and consumables are compatible? |
| Visualization and specialty systems | Laparoscopy, endoscopy, arthroscopy or mobile imaging as required | What complete system and room arrangement support the specialty? |
| Instruments and preparation | Procedure sets, trays, trolleys and instrument reprocessing | How are turnover, cleaning and sterile supply covered? |
| Recovery and emergency support | Recovery monitoring, beds or stretchers and emergency equipment | What is shared, and what must be available at each location? |
Separate room equipment from shared equipment
List each operating room and recovery position, then identify the equipment shared across the suite. Avoid counting a shared system once for every room, or assuming a device can be shared when simultaneous activity makes that impractical. Instruments also need a turnaround plan that connects workload to cleaning, sterilization and storage.
Specify a usable package
For each line, identify the intended use, essential functions, accessories, compatible consumables, utilities and training. Supplier comparisons should also state what is included in delivery, installation, commissioning and service support. A low headline device price can be difficult to compare if instruments, cables or required modules are outside the offer.
Prepare the BOQ for review
Use one row per requirement, with quantity, room or department, mandatory specifications and comments on existing equipment. Add the destination and procurement stage. If a particular brand or model is requested, explain whether it is mandatory for compatibility or an example that can be compared with alternatives.
Prepare your first discussion
Send your theatre equipment list or BOQ. We can review the scope, identify configuration questions and coordinate a comparable equipment package.
